The practical answer
A useful RFQ combines the commercial request with a clear material and application brief. State the intended composition, elemental assay basis, dosage format, qualification evidence and delivery assumptions. Ask suppliers to identify deviations explicitly so that a low price is not mistaken for an equivalent offer.
Describe the material and intended use
Begin with the ingredient definition and what the finished product must do. Specify the formulation category, target market and whether the request is for laboratory development, a pilot or routine production. State the elemental magnesium allocation separately from the estimated ingredient mass and explain any unresolved formulation assumptions.
For a US supplement project, the component specification must support the manufacturer’s product quality requirements. [1] This means procurement needs input from formulation and quality teams before treating two similarly named ingredients as interchangeable. The request can remain concise while still identifying the evidence needed for approval.
Use a brief suppliers can answer line by line
Ask the supplier to distinguish standard capabilities from proposed development work. “Can be supplied” should be accompanied by a clear explanation of the grade, lead time and evidence available. Do not assume a sample’s successful performance means identical inventory is immediately available in the required quantity.

Compare quotations in a disciplined sequence
Cost per kilogram of elemental magnesium can be informative, but it is not the complete cost of use. Required input mass, rejected batches, processing adjustments and qualification effort may change the practical comparison. Use actual project data where available; do not invent a savings percentage from supplier descriptions.
- First identify which offers match the required composition and essential qualification needs.
- Normalize assay basis, package size and commercial terms before calculating cost comparisons.
- Separate actual lot data from typical values and proposed future specifications.
- Plan the application trial and receiving-verification work needed before routine purchase.
- Record open questions, named responsibilities and the evidence that will close each one.
Keep legal and technical assurances precise
Ask what any certification or registration covers, including the entity, site, scope and validity. A document relevant to one facility or operation should not be presented as proof for every ingredient or finished product. FDA’s CGMP guidance also distinguishes responsibilities according to the operation performed; a raw-ingredient supplier and a finished-supplement manufacturer are not automatically subject to identical provisions. The output should be an actionable comparison and qualification plan, not a folder of brochures. A completed RFQ does not establish regulatory approval, confirm a clinical benefit or replace the buyer’s quality review. It gives each supplier a fair opportunity to respond to the same defined need and makes unresolved assumptions visible before a purchase commitment.
